Visitor Center and room reservations

Conference Rooms - Self-Scheduling

The Conference Rooms, Hagen and Shawnee-Porter, are now available to self-schedule utilizing the Google calendar room resource. Click here for instructions on how to add a room to your meetings. Your key card will open these rooms when you have them reserved. Note: Reservations must be made 5 business days in advance to ensure HVAC is turned on for your meeting.

Community organizations remain a priority in the scheduling of our conference room space. Occasionally internal reservations may need to move locations to accommodate some of our community partner events. External events, including employees' events, must be scheduled through calling the Visitors Center front desk or emailing guestservices@ucollege.edu.

Bollinger is unavailable this semester, as it is being utilized for campus visit meetings due to COVID.

The Visitors Center team will not be able to provide setup or clean up for your reservations. When making reservations make sure to allow your team enough time to set up and clean the conference room before and after use, including sanitizing all surfaces. Sanitizing supplies are provided in each room. If you would like water for your meeting, self-service supplies are provided in the catering kitchen connected to the Shawnee-Porter room. Please remember to keep the kitchen area clean.

Reserving Other Areas on Campus

All campus reservations by employees or students for locations on campus can be made by calling the Visitors Center front desk 402.486.2545 or emailing guestservices@ucollege.edu.

RV Space Rental

As a campus, we try to limit the usage of individuals parking their RV/travel trailers in our parking lot, since the lots are heavily used on a daily basis. However, if you know of an individual that would like to request to park at Union, please have them call the Visitors Center front desk 402.486.2545 or email guestservices@ucollege.edu. The updated cost is $20/night, cash only.

Summer Camps or other Recruiting

With the focus of Ortner Center Lobby shifting to be a Visitors Center, recruiters (camps, missions trips/groups, etc.) will no longer be able to set up in this area. Instead we encourage them to reserve space in the atrium or another location on campus which can be reserved by calling the Visitors Center front desk 402.486.2545 or email guestservices@ucollege.edu.

Guest Room Usage

Guest rooms are available to reserve for anyone attending a Union College event, family visiting a current Union College student, or any community partners who have reserved conference room space. This includes interdepartmental use for speakers or interviewees. Please note, day-of reservations may not be available.

The guest room costs have increased by 10% effective September 1.

Standard Rooms - $66

Suite Rooms - $94

Rees and Prescott guest rooms are no longer available for reservation in order to accommodate the residence hall needs.

Campus events that cater to an external audience (not alumni or parents)

Part of the new responsibilities of the director of visit experience, Brienne Engelhart, is to coordinate all events to ensure the exceptional Union College experience and provide consistency across these events. The goal is to enhance your efforts in every external facing event we offer. By doing this, we provide the support for you to host an excellent event including coordination with our on-campus service departments.

Brienne needs to be included in the planning process and any planning meetings from the start to achieve the Union College goal for your event. The formal process for requesting events will be developed and communicated when available. In the interim, email Brienne at the start of developing any events for external audiences, on or off campus to initiate the process.
